Groups and Special Events Executive

Responsible for the management and planning of all tributes and special events ensuring maximum conversion and minimal complaints with sole responsibility over these areas.

ROLE OVERVIEW

You will be fully responsible for the management and planning of all tributes and special events, as well as golf groups with over 6 bedrooms, ensuring maximum conversion and minimal complaints with sole responsibility over these areas. You will be a motivated, dedicated and bubbly person who is able to take control and responsibility of certain areas. Our internal events are the hotel’s most profitable area and this role will be fully committed to guest experience, rebooking and upsell.

Key responsibilities include:

 

  • Managing and event planning for all tributes and special events during the booking process
  • Managing golf groups with 6 plus rooms
  • Hosting and managing on the evening of tributes to greet guests, attending each table to check all guests are enjoying their evening and to collate feedback
  • Special events include private parties, private dining, afternoon teas, hen parties etc
  • You will also be involved with managing private Christmas parties and ensuring that the corporate events team are all equally sharing private Christmas party bookings between them
  • Manage upsell within the office and ensure the team are targeted and aware of targets and achievements at the weekly team meeting
  • Reporting on revenue and figures for all tributes and special events
  • Attend the monthly RPM meeting with the commercial director and team to report on tribute, groups and special events
  • Ensure on the day of the event, a team member is available to attend the 10:15am meeting and communicate any changes/current numbers
  • Working within a stand-alone role with full responsibility of tributes and special events
  • Ensure all team are trained to take tribute and special event bookings in your absence
  • Checking the revinate system and online feedback on a weekly basis, collating information to send to all HODs
  • Attending the weekly operations meeting when tribute or special events are present
  • Ensuring great rapport is built with each guest to maximise rebooking
  • Collating statistics on returning customers, feedback and enquiries
  • Managing key events for the hotel such as Grand Prix and MotoGP
  • Meeting with the F&B manager regularly to negotiate upsell prices for tributes and special events
  • Researching new event agencies, which acts would sell and what our clientele want to see listed
  • Working with marketing to ensure all tributes and internal events are advertised correctly and as you would like them
  • Annually creating an events calendar, choosing tribute acts and dates for internal events
  • Attending events to find new tribute acts to ensure a high quality, prior to booking
  • Involvement in creating internal event packages annually
  • This will be a lone role within the team so you will need to ensure all Event Planners and Enquiry Specialists are able to pick up your workload when you are out of the office

General:

 

  • Ensure effective communication within the team and other departments
  • Ensure minimal complaints from tribute and special events
  • Have a full understanding of Visual 1
  • Responding to all tribute, group and special event enquiries in a timely manner
  • Sending contracts and confirmations to all guests
  • Involvement in forecasting for tribute and special event revenue

Your background:

 

  • You will have previous experience in managing events
  • You must be willing to have full responsibility over the tribute, groups and special events and be able to work on your own within these areas
  • You will have previous experience in hosting events
  • You will be highly motivated with a keen eye for customer service, planning and organisation
  • Must have great attention to detail and be able to work to tight deadlines
  • You’ll be highly organised, able to stay calm under pressure and a confident communicator
  • You must have an eye for detail and you’ll thrive working under pressure and to tight deadlines
