Salary: Up to £27,399.36 based on 40-hours per week – Office Based

At Whittlebury Park, we are looking for a well-organised Senior Reservations Sales Co-Ordinator to join our Reservations team.

The Role:

MAIN OBJECTIVES & JOB ROLE:

  • Support the Reservations Management team to ensure the smooth and efficient running of the reservations department by defining, documenting, and delivering a professional reservations service
  • Aid in the coaching and development of the team to ensure a welcoming and efficient reservation service to existing and new clients is provided at all times
  • Support performance targets by ensuring good team morale and revenue focus

MAIN AREA OF RESPONSIBILITY:

  • Responsible for the reservation agents
  • To achieve sales and service targets, including direct calls handled %, mystery shop, and revenue budgets
  • The accuracy and productivity of the reservations team and the use of our systems
  • The welfare of the team in terms of personal development and moral

TASKS & DUTIES: GENERAL:

  • To create a team environment that promotes good employee morale and ensures a high level of commitment and pride in the department and the hotel
  • To ensure effective communication within the team by holding regular briefing sessions and attending hotel meetings, for example, our daily 10am meeting
  • To carry out quality training and development in a systematic and professional way in order to meet the needs of the business. To ensure training is recorded, and members of staff are consistently coached on a one-to-one basis
  • To ensure emails entering the reservations inbo,x along with live chat enquiries are dealt with in a timely manner and responded to in a professional, helpful tone
  • To ensure that all Origin Codes in Visual One PMS and SPA are correct and current, and to keep a log of all codes at all times
  • To take responsibility for all bookings for competition winners and press visits
  • To formulate and keep up to date an SOP catalogue of all duties performed within the reservations department
  • Incoming and outgoing calls to our guests with a good knowledge and understanding of our packages and offerings
  • To perform any other tasks/duties asked of you by the Reservations Manager/Senior Co-ordinator or any other member of the management associated with the position

OPERATIONAL:

  • Support the Reservations Management team in implementing SOP’s to ensure the service reflects the brand and customer expectations
  • To work with the Revenue Team to ensure that we are maximising opportunities and growing revenue opportunity
  • Run an efficient administration operation
  • Support the Reservations Management Team to produce and report the daily figures and communicate via the 10am meetings in their absence
  • Maintain an ongoing sales training initiative and skills development programme for your agents
  • Regularly monitor the quality and standard of service. Assess shortfalls and successes. Implement remedial action as required
  • Ensure that guest complaints procedures are adhered to and that remedial action is taken as required
  • Ensure departmental inductions take place for all new staff. New Starter Inductions held on Monday mornings
  • Submit, discuss, and agreeon  proposals and plans to improve standards, working conditions, control systems, and maximise revenue

SALES:

  • Be fully aware of budgeted revenue targets for the year, forecasts, sales, and the marketing plan
  • Implement new ideas to increase revenue once approved
  • Ensure upselling. Incentivise staff where required

Relevant Qualifications

  • Minimum 2 years Reservations sales/Admin experience in a four-star property (Desired but not essential – Full training provided)
  • Minimum 2 years of Management/Leadership experience

As the ideal candidate for this role, you will be a team player and thrive in a busy working environment. You will have a keen eye for detail and be able to work 5 days out of 7.
